Paying for appointments
Payment is to be made on the day of the appointment or earlier, unless an alternative arrangement has been made3 with us. Methods for payment include:
Direct Credit - direct credit transfers can be made to:

Eftpos - We use Zellar to process in-person card payments.
Credit/Debit Card Online Payments - Visa, Mastercard and American Express. We use STRIPE to process online card payments.
Cash – please let us know in advance if you wish to pay by cash and will need change as we do not keep cash in the office.

Refunds
Refunds can be made for unused appointments when payment has been made in advance and no late cancellation or non-attendance fee is aplicable to the appointment.
Refunds will be made to your nominated bank account via electronic funds transfer.
Rebates
Rebates may be available for services at
Medicare – Medicare rebates are available with a current and valid GP referral under a Mental Health Care Plan or chroinic health care plan. Rebates may also be available under a psychiatrist referral. Please speak to your GP or psychiatrist about creating a Mental Health Care Plan with them.
There are limits around the type of appointments that are covered by Medicate rebates.
We can submit Medicare claims on your behalf after we have received full payment, but you will need to provide Medicare with your bank details to ensure that the payment is processed by them to your account (similar to how a GP rebate can be diposited directly to your bank account).
Health insurance providers – The type of rebates provided by private health insurance providers varies. Please check with your provider for details about what is covered in your health insurance policy and the amount of rebates that you may be ale to claim.
We do not provide services to people through the Department of Veteran’s Affairs, Work Safe or TAC except in rare curcumstances.
Payments for Assessments
Payment schedules will be created for assessments. Results/Feedback appointments and documentation (such as assessment reports or diagostic letters), will not be provided until full fayment has been received.
Medicare rebates are not available for assessments. Please contact your health insurance provider to ask about what rebates may be available under your plan.
Rescheduling and cancellations
Appointments can be rescheduled or cancelled with no charge if at least 24-hours of notice is provided. Changes made to appointments within less than 24-hours of notice will result in a late cancellation fee or non-attendance fee if we are unable to find someone else to use the appointment time.
Late cancellation – A late cancellation fee is 50% of the appointment fee and is charged when less than 24-hours of notice is given to cancel the appointment. This also includes appointments that are rescheduled to another day with less than 24-hours of notice. Where appointments can be rescheduled to another available time on the same day, the late cancellation fee will not be charged.
Non-attendance – The full appointment fee will be charged when no cancellation or rescheduling is made, and the appointment is not attended.
Changes to appointments due to illness
Please do not attend in-person appointments if showing signs of infectious illness. As outlined above, there is no charge if we are notified of cancellations or changes at least 24 hours before the appointment. If you need to reschedule within less than 24-hours of the scheduled appointment, we will offer an online appointment as an alternative where possible.
Bookings, re-scheduling and cancelling appointments
There are a number of ways to make and change appointments:
Client portal – A client portal is available for you to book and cancel appointments, as well as check the dates of existing appointments and your invoices. This is our preferred option for cancelling or changing appointments.

SMS – you can make or change appointments via SMS to 0478 469 023. While it is also possible to call this number to change booking details, the phone may not always be answered at short notice.
In person – you can organise future appointments during your existing sessions
